Essential Functions:

Responsible for secretarial, clerical and administrative supportservices for Radiation Oncology Director of Cancer Center. Planning workschedules to ensure adequate coverage for criticaladministrative/clerical functions. Monitoring and ensuring work isperformed in conformance with established hospital policies and procedures.
Support English/Chinese translations in clinic during patient appointments
Support the entering of medical information into HIS system
Planning, preparing and organizing logistic and administrativerequirements for seminars, conferences, meetings and other specialprograms or events for the senior leadership. Obtaining and organizingplanning information, reserving event location(s) and securing necessarysupplies, equipment and services for a wide range of meetings.
Scheduling appointments and meetings and maintains personal calendars.Reserving meeting locations, ordering needed supplies and servicing andpreparing agenda, minutes and other materials. Preparing travelarrangements, including airline reservations and hotel accommodations,as necessary.
Working with a broad range of teams to set up meetings, monitorcompliance from involved teams, and to insure deadlines are met andproject completed as needed. Initiating, routing and trackingadministrative forms such as purchase orders, payment requisitions andother forms from beginning of process to completion and worksindependently to resolve any issues or discrepancies.

EXPERIENCES, SKILLS AND ABILITIES:

Healthcare experience desired, with nursing or medical background inradiation oncology is highly desirable
Excellent communication skills, both verbal and written, are required.
Ability to work independently and establish workflow priorities withminimum supervision.
Proficiency in administrative office procedures and protocol; meetingplanning and preparation of minutes, scheduling, design and maintenanceof filing and office systems.
Project management and multitasking skills are essential.
Must be fluent in Chinese and English, with experience supportingexpatriate executives. Knowledge of German is a plus.
Must be able to work effectively with other staff.
High level of proficiency with Microsoft Office applications and highlevel of computer skills.
Ability to work closely with others and present in a positive manner.
Ability to maintain the integrity of confidential information.
Familiarity with database and spreadsheet programs required.
Strong analytical and problem solving skills with high attention to detail
The ability to analyze data, patterns, trends with the ability tosynthesize the date into meaningful information
Able to work under ambitious time constraints
High level of proficiency with Microsoft Excel advanced featuresincluding pivot tables, advanced charting, and other advanced features.;high level of proficiency with other Microsoft Office applications
